Job Summary

The Payroll & Accounts Specialist is responsible for processing bi‑weekly payroll accurately and on time, while handling specific accounting and administrative tasks. You’ll ensure compliance with federal, provincial, and local regulations, maintain confidentiality, and support intercompany transactions, invoicing, and accounting system reconciliation.

Key Responsibilities

  • Process bi‑weekly payroll for both hourly and salaried staff, including regular pay, overtime, vacation, sick leave, and other accruals.
  • Enter and manage payroll data, such as new hirings, terminations, compensation changes, and deductions.
  • Ensure compliance with Canadian payroll regulations, Employment Standards, and tax legislation (EI, CPP, WSIB, etc.)
  • Generate and submit statutory filings and year‑end forms (T4, T4A, ROEs).
  • Manage intercompany transactions and issue invoices to major clients.
  • Reconcile payroll accounts and support monthly bank reconciliations via QuickBooks.
  • Conduct regular audits of payroll and accounting data, fix discrepancies, and make journal entries.
  • Respond to employee payroll inquiries and support payroll system upgrades or improvements.
  • Maintain secure and accurate payroll records, protecting sensitive information.

Qualifications & Skills

  • Post‑secondary diploma or degree in Accounting, Finance, or a related field.
  • Minimum 2+ years of direct payroll and accounts experience; preference for candidates with manufacturing, unionized, or project‑based background.
  • Strong understanding of federal and provincial payroll regulations and Canadian payroll legislation.
  • Proficiency with QuickBooks and advanced Microsoft Excel skills (pivot tables, V‑lookup).
  • Excellent attention to detail, data analysis, and organizational skills.
  • Clear communication and interpersonal abilities for working with staff, management, and external partners.
  • Discreet and professional when handling confidential payroll and financial data.
